What's it like to be a Document Controller?
Document Controllers are responsible for blueprints, reports, financial statements, employee files, and other documents relevant to an organization. Document Controllers ensure that both hard and soft documents are accurate, organized, updated, and distributed in a timely manner to concerned employees. High level organizational skills, concentration and attention to detail are necessary to excel in the role. Document Controllers work in the technology, construction, financial and legal sectors.
Tasks and duties
- Maintaining records of a company’s operations, such as meetings, finances, schedules, employees, and correspondences.
- Creating policies and systems to optimize document storage.
- Filing and arranging documents for easy reference of the company.
- Distributing physical and digital documents to concerned employees.
- Auditing document inventory and reviewing filed documents for updates.
- Drafting document templates for future use.
- Maintaining document confidentiality and accuracy.
How to become a Document Controller
A bachelor degree and proficiency in Electronic Document Management Systems (EDMS) is required for the role. Document controllers must be skilled in typing and using software such as MS Word and Excel. Previous work in administrative or secretarial roles may help document controllers gain familiarity with corporate filing systems and basic labor or corporate laws.

Graduate with a bachelor degree in business administration, information library science, legal management, or another related field.

Complete an internship in the administrative department of a recognized company.

Gain administrative experience by volunteering to manage documents at school organizations, NGOs, events, community libraries or passion projects.

Master Electronic Document Management Systems (EDMS) such as DocuWare Cloud, Rubex, or Sharepoint.

Get relevant certifications such as Project Management Professional, Administrative Skills, or Managing Time.
