Qualifications

  • Minimum of 5 years' experience in invoicing, accounts receivable, billing operations, or finance
  • Including at least 2 years of team leadership, supervision, mentoring, or management experience.
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field
  • Professional certification (e.g., CPA, CMA, or other finance-related certification) preferred but not required
  • Strong understanding of end-to-end billing and invoicing processes
  • Strong analytical, problem-solving, and reconciliation skills
  • Proficiency in Microsoft Office applications, particularly Excel
  • Experience with accounting software or ERP systems, preferably Oracle
  • Strong multitasking and prioritization skills in a fast-paced environment
  • Demonstrated success in meeting strict deadlines and performance expectations
  • Composure under pressure while maintaining a high level of accuracy and attention to detail
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • High level of accuracy, attention to detail, and commitment to continuous improvement
  • Ability to handle confidential information with discretion and professionalism

Responsibilities

Data Processing and Maintenance

  • Oversee the accurate and timely processing of invoicing data, including invoice creation, distribution, and record maintenance
  • Coordinate with internal stakeholders to ensure billing accuracy and resolve discrepancies
  • Support efficient and seamless invoice processing activities
  • Maintain and update billing systems and databases
  • Monitor invoicing trends and data quality
  • Collaborate with cross-functional teams to improve processes, system efficiency, and data integrity within NetSuite

Data Analysis and Reporting

  • Analyze invoicing data to identify trends, discrepancies, and process improvement opportunities
  • Prepare and maintain reports on key billing metrics, including revenue, overdue payments, and invoice aging
  • Collaborate with stakeholders to meet reporting requirements
  • Provide actionable insights to support informed business decisions
  • Deliver clear, accurate, and timely reporting

Communication and Collaboration

  • Serve as a key liaison between internal departments and clients to support efficient invoicing operations
  • Coordinate invoicing requirements across stakeholders
  • Resolve billing issues and discrepancies in a timely manner
  • Communicate billing policies, requirements, and deadlines effectively
  • Facilitate collaboration across teams and stakeholders
  • Support process compliance, issue resolution, knowledge sharing, and continuous improvement initiatives

Effective Communication

  • Maintain clear, timely, and professional communication with internal and external stakeholders
  • Respond to inquiries and resolve invoicing-related concerns
  • Communicate billing requirements in a clear and easily understood manner
  • Foster collaboration, transparency, and strong working relationships
  • Document and communicate key information, decisions, and action items accurately

Stakeholder Management

  • Build and maintain strong relationships with internal and external stakeholders
  • Serve as the primary point of contact for invoicing-related matters
  • Ensure timely communication, issue resolution, and alignment of expectations
  • Address stakeholder concerns and gather feedback
  • Identify and implement process improvement opportunities
  • Enhance stakeholder satisfaction through effective service delivery

Privacy and Confidentiality

  • Protect invoicing and client data in compliance with company policies, CSA requirements, and applicable data privacy regulations
  • Maintain secure access controls and restrict information sharing to authorized personnel
  • Support compliance with confidentiality and data protection protocols
  • Promote awareness of data privacy and information security responsibilities
