Qualifications

Required

  • High school diploma or equivalent; associate or bachelor's degree preferred
  • 2+ years of experience in an administrative, operations, or financial services support role
  • Proficiency in Microsoft Office Suite (Word, Excel, and Outlook)
  • Experience with or ability to quickly learn industry platforms such as RBC, Nexus, Airtable, and Fi360
  • Strong organizational skills with the ability to manage multiple recurring deadlines
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy

Preferred

  • Experience in a wealth management, financial advisory, or compliance environment
  • Familiarity with RMD processing and AP workflows
  • Experience supporting senior leadership in an administrative capacity

Responsibilities

Daily Operations

  • Review and update the active projects list each business day
  • Organize and maintain filing systems for documents, records, and correspondence
  • Prepare and send birthday cards to clients according to schedule
  • Prepare Accounts Payable (AP) and RBC forms, including requests for client distributions, new account openings, and personal information changes, while managing applicable turnaround times
  • Execute daily RBC platform tasks, including processing UMG wires
  • Close accounts and process fee rebates, including retrieving client folders and updating the dead file log
  • Process client returned mail and take appropriate follow-up actions
  • Process RBC residual balances
  • Process RBC account closures
  • Answer incoming phone calls and relay messages to the appropriate team members
  • Review voicemail messages daily and relay information as needed

Weekly Operations

  • Order and manage office supplies
  • Complete office-related errands as required

Monthly Operations

  • Generate Net New Assets Reports by the 15th of each month
  • Generate Fi360 Performance Reports by the 15th of each month
  • Prepare Required Minimum Distribution (RMD) forms and coordinate client signatures
  • Notify the Client Service Specialist of upcoming client birthdays and related card requirements

Quarterly Operations

  • Download High Cash Reports from vendor websites during the first week of January, April, July, and October
  • Coordinate and distribute 401(k) and Wealth Management client email campaigns during the third week of January, April, July, and October
  • Verify portfolio and investment objective data between Nexus and Airtable records

Annual Operations

  • Download Required Minimum Distribution (RMD) reports from all vendor websites at the end of January

Compliance Support

  • Assist with annual and quarterly compliance testing activities
  • Attend weekly compliance meetings

Executive Administrative Support

  • Provide administrative support to the Vice President of Operations, Compliance, and Finance
  • Assist with scheduling, correspondence, and special projects as assigned
