Medical Receptionist / Patient Services Officer (Part-Time / Casual)

Location: Moonee Ponds
Hours: Approximately 20 hours per week (Tuesday, Wednesday and Thursday preferred)

We are seeking a friendly, reliable and professional Medical Receptionist to join our Patient Services Team. This role is primarily focused on front reception, patient enquiries, appointment bookings and consultation billing. It is best suited to someone who enjoys patient interaction and administration in a busy specialist medical practice.

Please note: This is a reception and patient services role. It is not a senior administration or practice management position.

Key Responsibilities

  • Answering a high volume of incoming patient telephone enquiries

  • Booking, rescheduling and confirming patient appointments

  • Greeting patients and providing exceptional customer service

  • Managing specialist clinic schedules

  • Processing patient registrations and maintaining accurate records

  • Billing and receipting patient consultations following appointments

  • Processing patient accounts, estimates and payments

  • Responding to patient and referrer emails

  • Following up outstanding results and documentation

  • Scanning, filing, faxing and general administrative duties

  • Providing administrative support to the wider team as required

About You

  • Previous experience working in a medical reception or medical administration role is essential

  • Minimum 2 years' experience in a medical practice preferred

  • Excellent telephone manner and customer service skills

  • Strong communication and interpersonal skills

  • Ability to multitask and remain organised in a busy environment

  • Ability to work both independently and as part of a team

  • High attention to detail and accuracy

  • Understanding of privacy, confidentiality and professional conduct in a healthcare setting

  • Proficient in Outlook, Microsoft Word, Microsoft Teams and basic Excel

Desirable Skills

  • Experience working in a specialist medical practice

  • Knowledge of specialist medical terminology

  • Experience with medical billing and patient accounts
