About the Client

Our client is a specialist shopping centre and leasing consultancy operating across Australia. Their core focus is leasing and releasing retail tenancies within shopping centres, issuing offers to prospective tenants, and providing master planning advisory services for new retail developments. They work directly with landlords, developers, and tenants to deliver high-quality leasing outcomes.

Role Summary

On behalf of our Australian client, we are seeking a detail-oriented and proactive Lease Administration & Bookkeeping Assistant to support their Principal Consultant on a part-time, remote basis.

Because the client's Principal Consultant is frequently in the field, they need an independent self-starter who can manage their workload autonomously with minimal supervision. This critical role balances professional lease administration (including preparing letters of offer) with general financial data entry and administrative duties.

Key Responsibilities

Lease Administration:

  • Prepare, format, and issue letters of offer to prospective retail tenants.

  • Draft, review, and manage lease documentation and correspondence.

  • Maintain organised, up-to-date records of active leasing transactions and tenant communications.

  • Coordinate and track critical lease dates, milestones, and renewal deadlines.

  • Support the preparation of leasing reports for landlord and development clients.

Bookkeeping & General Admin:

  • Manage day-to-day bookkeeping, including data entry, invoice processing, and account reconciliations.

  • Maintain accurate records in accounting software (e.g., Xero or similar).

  • Track outgoing and incoming payments related to leasing activity.

  • Manage email correspondence professionally on behalf of the consultant.

  • Organise digital filing systems and handle routine enquiries from stakeholders.

Requirements & Qualifications

Essential:

  • Communication: Exceptional written and spoken English skills; capable of producing professional, client-ready documents with minimal revision.

  • Property Experience: Prior experience in lease administration, property management, or legal/commercial admin.

  • AU Knowledge: Familiarity with Australian retail leasing concepts and terminology (knowledge of the Retail Leases Act or state legislation is highly regarded).

  • Bookkeeping: Solid bookkeeping experience with a strong eye for detail and accuracy.

  • Remote Setup: A reliable internet connection and a personal computer/laptop suitable for remote work. Comfort communicating via Teams, Zoom, WhatsApp, and email.

Preferred:

  • A university degree in Business, Commerce, Property, Law, or a related field.

  • Hands-on proficiency in Xero, MYOB, or similar accounting software.

  • Experience preparing formal offer letters, tenancy agreements, or commercial leasing documents.

  • Previous experience supporting an Australian business in a remote capacity.

Work Environment & Expectations

  • Hours: Core working hours will be aligned to Australian Eastern Time (AEST).

  • Confidentiality: High accuracy and strict confidentiality are paramount, as you will be handling sensitive commercial and legal information.

  • Location: Home-based / Remote (Philippines)

  • Work Type: Part-Time (approx. 20 hours per week)
