Experience Manager at Single Family Office

A Hong Kong based single family office is looking for an Experience Manager to run personal events, gifting, lifestyle logistics, and household operations for the principal. You'll work directly with the principal and own this side of the office.

A role for someone with the taste to plan the unforgettable, the judgement to be trusted with it, and the operating skill to actually pull it off.

A complete remit

  • 01

A handful of personal events each year for the principal. Anniversaries, birthdays, milestone celebrations. Guest counts range from intimate dinners for two to small gatherings of up to twenty, across Asia, the Americas, Europe, and Oceania. You take the brief, scout the venues, book private jets, charter yachts, and secure castles. You manage the vendors, the budget, and you are there on the ground for the moments that matter.

  • 02

Gifting for a defined circle of family and close friends. You run the program end to end, including the institutional memory behind it.

  • 03

Oversight of a small household team including captains, drivers, and domestic staff. Hiring (you screen and recommend, principal decides), scheduling, and performance.

  • 04

Asset administration across the family's vehicles and yacht. Licenses, insurance, registrations, surveys, and renewals all sit with you, working with the relevant brokers and external providers.

  • 05

Administration of an international real estate portfolio including a private island. Property managers, caretakers, renovation projects, insurance, utilities, taxes, and access logistics across multiple jurisdictions. You coordinate the people on the ground at each location and keep every property guest-ready.

  • 06

Hiring other personal vendors as needed. Trainers, tutors, photographers, household staff for extended family. You interview, recommend, and onboard once the principal signs off.

Taste over spend

Budget is meaningful but it isn't the point. We're looking for someone who pulls off miracles with creativity and taste, not by throwing money at the problem. The most memorable moments aren't always the most expensive ones, and we want someone who knows the difference.

Where this takes you

This role does not live behind a desk. You will be on the ground at a villa on Lake Como in spring. The South Island of New Zealand in summer. The Arctic Circle in autumn for the northern lights. A schloss in the Salzkammergut for a winter dinner.

You will arrange the private jets that bring the principal's guests in. You will charter sailing yachts in the Mediterranean and the Whitsundays. You will arrange a private excursion to Antarctica. You will scout palazzi in Venice and finca-style retreats in Mallorca months before the rest of the world knows them. You will know the chef who closes the restaurant for one table, the property manager who answers the phone at 4am, the pilot who lands on the glacier strip.

You work behind the scenes. The guests should never see the choreography, only the experience. You will spend time in some of the most beautiful places on earth.

The person we're looking for

Five or more years in luxury hospitality events, private members clubs, family office, bespoke event planning, or private client services at an auction house. Experience managing household or crew staff is a strong plus.

Strong English. Cantonese a plus. You're a self-starter who can brief a vendor cold and make calls without running every detail past the principal.

Privacy matters in this household and we expect it from whoever takes this role.

We will consider visa sponsorship, but will prioritize candidates who already have the legal right to work in Hong Kong.

If you don't have that formal background, we still want to hear from you. In that case, expect to show demonstrable taste and creativity through the hiring process.

About the principal

A European-Hong Kong family. Wealth created through technology entrepreneurship and private equity. Engaged in a great deal of philanthropic work, which is handled separately within the family office and sits outside this role.

The principal works hard, weekdays and weekends. The off-hours are for the people he loves: his wife, his family, his closest friends. He sees life as short, and the time off as the moments worth maximizing, with as much beauty and meaning packed in as possible.

Privacy, judgement, reliability, creativity, and taste are the five things he values most in a role like this.

The principal runs a small, lean team that leans heavily on AI. The Experience Manager is expected to learn to leverage AI heavily, using the tools fluently to plan faster, search smarter, brief vendors better, and operate at a higher pace than a traditional EA or events lead could.
