As Admin Specialist, you will ensure efficient, accurate, and compliant delivery of administrative services—covering mobility, assets, travel, and permits—enabling cost control, seamless coordination, and a consistent employee experience across the Business Development group and contribute directly to transforming energy for a better world. You will work closely with Business Development team to deliver results, create positive community impact, and develop your skills in a supportive, purpose-driven environment.

In This Role, Your Responsibilities Will Be:

  • Administrative Support

    • Maintain centralized trackers and documentation across admin functions to ensure accuracy and visibility 
    • Track and coordinate administrative requests and submissions to ensure timely processing and proper documentation 
    • Support logistics, facilities, and utilities administration through coordination and tracking of requests and services 
  • Car Plan Management
    • Manage end-to-end processing of car plan requests in accordance with company policies 
    • Coordinate with SCM, dealers, and insurance providers to facilitate processing and delivery 
    • Prepare and process required documentation (e.g., CLAF, PR) and monitor approvals 
    • Maintain records (OR/CR, tracking) and monitor vehicle lifecycle and renewals 
  • Mobile Plan Management
    • Manage provisioning, changes, and retrieval of mobile plans with telecom providers 
    • Address billing concerns and coordinate resolution with vendors and/or Finance 
  • Fleet Card Management
    • Manage issuance, replacement, and cancellation of fleet cards in accordance with policy 
    • Monitor usage and flag irregularities to ensure compliance and cost control as needed 
  • Travel Management
    • Manage end-to-end travel arrangements including flights, hotels, and land transportation 
    • Coordinate with travel vendors to secure bookings and confirmations 
    • Handle itinerary management including changes, cancellations, and issue resolution 
  • Permits and Compliance
    • Prepare and submit required documents for business permits and regulatory compliance 
    • Track renewal timelines and coordinate completion with stakeholders 
  • Others
    • Performs other related duties and responsibilities that may be assigned by the TL

What You Will Need:

Education & Experience:

  • Bachelor’s degree in Business Administration, Office Management, Marketing, or any related field.

  • At least 3–5 years of experience in corporate or shared services administration

  • Experience in travel coordination, vendor management, or asset administration preferred

  • Strong organizational skills with high attention to detail and accuracy

  • Proficient in MS Office and/or Google Workspace

  • Good communication skills with ability to coordinate across teams and external vendors

  • Exposure to billing, documentation, or administrative processes is an advantage

  • Ability to manage multiple requests in a fast-paced, shared services environment with minimal supervision
