Job Description

As an Executive Assistant, you will take the reins of high-level administrative support, from managing schedules to handling communications and coordinating special projects. Your role is pivotal in optimizing the COO’s efficiency and ensuring smooth operations that resonate throughout the organization.

Employment Type: Full-Time

Shift: Monday to Friday, 6:00 AM - 3:00 PM

Work Setup: Onsite, Makati City

Salary: Up to PHP80,000

The Pillars of Your Expertise

  • 3 to 5 years of experience as an Executive Assistant supporting C-level executives.
  • Experience in AU Real Estate is required.
  • Exceptional attention to detail, with proficiency in data entry and creating presentations and slideshows using Microsoft PowerPoint.
  • Expertise in building and managing spreadsheets using Microsoft Excel.
  • Versatility as an office all-rounder, capable of assisting wherever needed.
  • Strong verbal and written communication skills in English.
  • A self-starter with a proactive "can-do" attitude.
  • Finance background is advantageous but not required.

The Building Blocks of Impact

  • Manage the COO's calendar, schedule appointments, and coordinate internal and external meetings.
  • Prioritize and handle incoming communications, including emails, phone calls, and inquiries, ensuring timely responses.
  • Prepare meeting agendas, take minutes, and distribute relevant documents to attendees.
  • Conduct research, compile data, and create confidential documents, reports, and presentations for the COO.
  • Arrange travel, including booking flights, accommodations, and ground transportation.
  • Serve as a liaison between the COO and internal or external stakeholders.
  • Oversee special projects and initiatives, ensuring deadlines and deliverables are met.
  • Perform administrative tasks such as data entry, creating slideshows, managing spreadsheets, expense tracking, and record-keeping.
  • Anticipate the COO's needs and identify opportunities to optimize their time and efficiency.
  • Maintain professionalism and discretion when handling sensitive information.
  • Perform ad-hoc management tasks as required.
