EVENTS AND ADMIN ASSOCIATE
The Events & Admin Associate is responsible for supporting the pre-opening and ongoing operational requirements of the pickleball facility. The position focuses on assisting in the establishment, organization, and daily operations of the pickleball business, including facility readiness, leasing coordination, administrative functions, customer service, and event support. The Associate plays a key role in ensuring the successful launch of the facility and the smooth execution of all incoming events and activities.
Key Duties and Responsibilities
A. Pickleball Facility Opening and Operations
Assist in the preparation and operational readiness of the pickleball facility prior to opening.
Coordinate with contractors, suppliers, and service providers regarding facility requirements and operational needs.
Monitor the completion of facility setup, equipment installation, and operational preparations.
Assist in developing and implementing operational procedures, policies, and guidelines.
Ensure courts, equipment, furniture, and common areas are properly organized and maintained.
Support the daily operations of the pickleball facility after opening.
Monitor court reservations, memberships, and customer transactions.
Ensure compliance with company policies, safety standards, and facility regulations.
B. Event Planning and Coordination
Assist in organizing and coordinating all incoming events, tournaments, leagues, corporate functions, and promotional activities.
Coordinate event logistics, schedules, registrations, and venue preparations.
Liaise with event organizers, sponsors, suppliers, participants, and internal departments.
Ensure all event requirements are properly arranged and executed.
Provide on-site operational support before, during, and after events.
Prepare event reports and maintain records of all facility activities.
C. Leasing and Booking Administration
Assist in managing court rentals, venue bookings, and leasing opportunities within the facility.
Prepare booking agreements, lease documents, contracts, and client correspondence.
Coordinate with clients regarding reservations, schedules, and event requirements.
Maintain updated records of bookings, rentals, memberships, and client information.
Monitor utilization of courts and event spaces to maximize occupancy and revenue opportunities.
D. Administrative Support
Maintain accurate records and documentation related to operations, events, bookings, and memberships.
Prepare operational reports, event summaries, correspondence, and administrative documents.
Process billing, collections, invoices, and payment monitoring as required.
Manage office supplies, operational materials, and inventory records.
Assist management in tracking operational expenses and administrative requirements.
Maintain organized filing systems for contracts, permits, reports, and business records.
E. Customer Service and Business Development
Provide excellent customer service to members, guests, clients, and visitors.
Assist in promoting memberships, court rentals, events, and pickleball programs.
Handle customer inquiries, concerns, and feedback professionally.
Support marketing activities and community engagement initiatives to increase facility awareness and participation.
Build positive relationships with customers, partners, sponsors, and stakeholders.
F. Other Duties and Responsibilities
Assist management in achieving operational and business objectives.
Support special projects related to the expansion and growth of the pickleball facility.
Perform other duties that may be assigned by management from time to time.
Qualifications
Bachelor's Degree in Business Administration, Hospitality Management, Sports Management, Marketing, or any related field.
Preferably with experience in administrative support, facility operations, leasing, event coordination, or sports and recreation management.
Strong organizational, communication, and interpersonal skills.
Proficient in Microsoft Office applications.
Ability to handle multiple tasks and work in a fast-paced environment.
Willing to work flexible schedules, including weekends, holidays, and event dates.
Experience in sports facility operations or event management is an advantage.
Primary Objective
To support the successful opening, operation, and growth of the pickleball facility by ensuring operational readiness, efficient administration, effective booking management, and seamless execution of all incoming events and activities.
