Duties and Responsibilities

A. GPS Fleet Monitoring

  • Monitor the real-time location and movement of all Company vehicles using the GPS tracking system.

  • Track trip progress from dispatch to destination.

  • Detect unauthorized routes, excessive idling, speeding, route deviations, unauthorized stops, and prolonged vehicle inactivity.

  • Monitor estimated arrival and delivery times.

  • Immediately report unusual vehicle movements to the Operations Department.

  • Coordinate with drivers regarding operational concerns when authorized.

  • Verify GPS records against dispatch schedules, trip tickets, and Daily Time Records (DTRs).

B. CCTV Monitoring

  • Monitor CCTV cameras covering Company premises, warehouses, loading areas, parking areas, fuel stations, and other critical locations.

  • Observe loading and unloading activities to ensure compliance with Company procedures.

  • Detect theft, pilferage, safety violations, unauthorized entry, suspicious activities, or security breaches.

  • Preserve CCTV footage related to accidents, incidents, customer complaints, investigations, or disciplinary cases.

  • Assist Management by retrieving and providing CCTV recordings upon authorized request.

C. Incident Monitoring and Reporting

  • Immediately report vehicle accidents, emergencies, breakdowns, security incidents, and operational irregularities.

  • Prepare Incident Reports with complete supporting details.

  • Maintain an incident logbook.

  • Escalate urgent concerns to the appropriate department.

D. Documentation and Recordkeeping

  • Maintain GPS monitoring logs.

  • Maintain CCTV monitoring logs.

  • Prepare daily, weekly, and monthly monitoring reports.

  • Archive GPS reports and CCTV footage according to Company retention policies.

  • Ensure confidentiality of monitoring records.

E. Compliance Monitoring

  • Verify compliance with Company policies on:

    • Authorized routes

    • Working hours

    • Speed limits

    • Rest periods

    • Vehicle utilization

    • Dispatch schedules

    • Safety procedures

  • Assist in validating employee attendance, trip records, and operational reports using GPS and CCTV records.
