HR Assistant
The HR Assistant provides administrative and operational support to the Talent Acquisition and Human Resources Admin, with a primary focus on employee records management, recruitment documentation, and onboarding coordination. The role is responsible for ensuring the integrity, completeness, and audit readiness of employee 201 files while maintaining compliance with company policies, Philippine labor regulations, and applicable international audit standards. This position also supports day-to-day recruitment and onboarding activities to ensure a seamless candidate and employee experience throughout the project engagement.
RESPONSIBILITIES:
Employee Records Management
Prepare, organize, and maintain complete, accurate, and up-to-date employee 201 files in both physical and electronic formats.
Ensure all pre-employment, employment, and separation documents are properly filed, monitored, and retained in accordance with company policies and document retention guidelines.
Perform periodic audits of employee records to verify document completeness, accuracy, and compliance with regulatory requirements.
Safeguard the confidentiality, integrity, and security of employee information in accordance with data privacy regulations.
Monitor document compliance and generate status reports to support HR management and audit requirements.
Recommend and implement process improvements to enhance records management efficiency and documentation accuracy.
Audit Readiness and HR Compliance
Prepare, organize, and maintain HR documentation required for internal, external, ISO, client, and regulatory audits.
Coordinate with Talent Acquisition, Human Resources, Compliance, and other stakeholders to address audit observations and implement corrective actions.
Ensure HR records comply with company policies, Philippine labor laws, document retention standards, and applicable quality management systems.
Facilitate the timely retrieval and submission of HR documents during audit activities.
QUALIFICATIONS:
Bachelor's degree in Human Resources Management, Psychology, Business Administration, or any related field.
At least 6 months to 1 year of experience in Human Resources, Talent Acquisition, or HR Administration, preferably in employee records management or documentation-focused functions.
Fresh graduates with relevant internship experience are welcome to apply.
Demonstrates integrity, discretion, and the ability to handle confidential information with professionalism.
Able to work independently while collaborating effectively within a team environment.
Willing to work onsite in Makati City under a project-based employment arrangement.
