About the role

YHM HOME BUILDERS SUPPLY CORP. is seeking a dedicated and organized Administrative Assistant to join our team in Makati City, Metro Manila. This is a full-time position that plays a crucial role in supporting the smooth operation of our office and business functions. As an Administrative Assistant, you will be the backbone of our administrative operations, providing essential support to management and various departments. This role is integral to maintaining our efficiency and ensuring that our team can focus on their core responsibilities whilst you manage the day-to-day administrative tasks that keep our organization running smoothly.

What you'll be doing

  1. Managing and organising office files, documents and records in both physical and digital formats

  2. Scheduling and coordinating meetings, appointments and travel arrangements for management and staff

  3. Answering and directing telephone calls, emails and visitor inquiries in a professional manner

  4. Preparing and processing administrative documentation including reports, correspondence and presentations

  5. Maintaining office supplies inventory and placing orders as needed to ensure adequate stock levels

  6. Supporting human resources functions such as employee records management and onboarding assistance

  7. Coordinating office maintenance and facilities management, including liaising with service providers

  8. Assisting with event planning and organisation for company functions and meetings

  9. Performing general clerical duties including data entry, filing and database management

  10. Supporting multiple departments and team members with varying administrative needs


What we're looking for

  1. High school diploma or equivalent; further education or certification in administration is advantageous

  2. Proven experience working in an administrative or office support role, ideally in a fast-paced business environment.

  3. Can communicate both in oral and written Mandarin or Fukien (Chinese Language)

  4. Familiar and knowledgeable government permits and licenses, BIR filings and its likes.

  5. Excellent organizational and time management skills with the ability to prioritize multiple tasks effectively

  6. Strong written and verbal communication skills in English, with attention to detail and accuracy

  7. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience with office management software

  8. Professional telephone etiquette and customer service skills

  9. Ability to maintain confidentiality and handle sensitive information with discretion

  10. Flexible and adaptable approach to work, with the ability to manage changing priorities

  11. Strong interpersonal skills and the ability to work collaboratively with colleagues at all levels

  12. Familiarity with office procedures, record keeping and filing systems

  13. Resident of Manila or of its nearby cities.
