Job Summary:
The Bid Executive supports Bid Managers and pursuit teams to drive higher win rates on service deals by coordinating proposals, managing responses, and ensuring timely bid submissions. This role involves monitoring tender portals, handling RFx and pre-qualification documents, liaising with sales teams, maintaining CRM and bid pipelines, and providing general support to the Strategic and Global Bid Centre Managers. The ideal candidate has experience in bid/tender environments, strong organizational and prioritization skills, and the ability to work collaboratively under pressure within a matrix team structure. Knowledge of administration, bid frameworks, and the Xerox sales cycle is advantageous.
Key Responsibilities:
Monitor tender portals and forward relevant documentation to Bid/Sales teams
Register and manage communications on online tender portals.
Coordinate clarification requests, conference calls, and pursuit decisions.
Maintain CRM, bid pipeline reports, and bid diaries.
Prepare and submit bid documents, attachments, and pre-qualification questionnaires on time.
Supply standard company information, historical contract documents, and support proposal creation
Provide organizational support to Strategic and Global Bid Managers and the wider pursuit team.
Qualifications & Skills:
Experience in bid/tender environments and collaborative team settings.
Strong administrative, organizational, and prioritization skills.
Ability to interpret complex information and manage workload under pressure.
Proven relationship-building skills across organizational levels.
Knowledge of bid frameworks, tender processes, and preferably Xerox offerings.
