Export / Import Operator (WFH-Dayshift)

We are looking for an Export / Import Operator who is detail-oriented, proactive, and confident managing end-to-end shipment coordination. The ideal candidate is comfortable working with tight deadlines, multiple stakeholders, and a high level of operational accuracy.

In this role, you will work closely with the Operations Manager and Director, playing a key part in ensuring smooth, compliant, and efficient freight movements for our clients.

Your Responsibilities Will Include:
  • Arrange bookings with nominated co-loaders and shipping lines as directed by the Manager
  • Coordinate the collection and delivery of shipments through approved transport providers and monitor all movements through to completion
  • Liaise with overseas agents to ensure smooth handling of all inbound and outbound shipments
  • Act as the main point of contact between customers, shipping lines, airlines, and service providers
  • Provide timely, proactive, and professional responses to all customer enquiries
  • Ensure all shipment updates and pending tasks are followed up promptly
  • Prepare, process, and manage shipping documentation including bills of lading, packing lists, dock receipts, and certificates of origin
  • Ensure all shipment data, costs, and operational details are accurately entered into the system
  • Assist with Customs documentation and compliance requirements
  • Ensure full compliance with New Zealand Customs, MPI, and other relevant government regulations
  • Provide regular and accurate shipment status updates to clients
  • Ensure pre-alerts are processed within required timeframes before shipment arrival or departure
  • Coordinate cargo insurance for clients and assist with insurance claims when required
  • Maintain adherence to company Operations Manual, policies, and procedures
  • Support administrative and operational tasks to ensure efficiency and compliance
  • Undertake other duties as reasonably directed by the Director
What We're Looking For:
  • At least 2 years' experience in freight forwarding, logistics, or import/export operations
  • Experience working with Western clients (NZ, AU, US) is a strong advantage
  • CargoWise experience is a plus but not required; willingness to learn is essential
  • Strong understanding of shipping processes and documentation
  • High attention to detail and accuracy in operational work
  • Ability to manage multiple shipments, deadlines, and stakeholders simultaneously
  • Strong communication and customer service skills
  • Proactive, solution-oriented mindset with ability to work under pressure
  • Comfortable working in a structured, compliance-driven environment
