ACS Bali is seeking a highly organized and proactive Operations and General Affairs Executive to support the daily operational and administrative functions of our new international school. This role will be instrumental in ensuring a smooth and efficient learning environment by working with the Chief Operating Officer in facilities management, procurement, vendor relations, compliance, and general administration. The ideal candidate will be a problem-solver with strong administrative and people skills, plus a keen eye for detail.
Key Responsibilities:
Operations & Facilities Management:
- Support the COO to ensure a safe, secure and conducive facilities environment for students and staff.
- Coordinate with vendors, service providers, and contractors for facility maintenance, repairs, and improvements.
- Support the COO in implementing health and safety protocols, ensuring compliance with local regulations and international school standards.
General Administration:
- Successfully undertake administrative support functions, documentation, and record-keeping.
- Support licensing, permits, and other regulatory requirements for school operations.
- Support human resource functions, including onboarding, and staff welfare programs.
Procurement & Vendor Management:
- Successfully undertake procurement processes, including sourcing, pricing, purchasing, and inventory control.
- Establish and maintain relationships with vendors to ensure quality and cost-effective services.
Event & Logistics Support:
- Assist in organizing school events, activities, and school promotions
- Oversee transportation and logistics arrangements for students, staff, and visitors.
- Support emergency preparedness plans and crisis response coordination.
Qualifications & Requirements:
- Bachelor's degree in Business Administration, Operations Management, Education Administration, or a related field.
- Minimum 3-5 years of experience in operations, administration, or facility management, preferably in an educational institution.
- Strong organizational, problem-solving, and multitasking skills.
- Proficiency in Microsoft Office and school management software.
- Excellent communication skills in both Bahasa Indonesia and English, and ability to work collaboratively in a multicultural environment.
