Position Title: Operational Villa Manager
Reports To: Director
Purpose & Objectives
- To oversee the day-to-day operations of Ubuntu Bali, ensuring seamless coordination among departments to deliver exceptional guest experiences.
- To act as a key point of contact for both guests and staff, fostering an organized, efficient, and positive workplace.
- To ensure all operational aspects align with the mission and standards of Ubuntu Bali as a yoga retreat and healthy lifestyle center.
Key Responsibilities
1. Operations Management
- Supervise daily operations across all departments, including reception, housekeeping, garden, maintenance, and the café.
- Ensure property readiness for guests, including cleanliness, functionality, and aesthetic appeal.
- Monitor and improve workflows to enhance efficiency and service delivery.
2. Staff Supervision & Coordination
- Create and manage staff schedules to ensure adequate coverage for all roles.
- Conduct regular meetings with department heads to address issues, plan activities, and align team goals.
- Act as a mentor and provide guidance to staff, promoting a collaborative and supportive team environment.
3. Guest Relations
- Serve as the escalation point for guest inquiries or complaints that cannot be resolved by front desk staff.
- Ensure guest satisfaction through proactive communication and service delivery.
- Oversee boutique operations and assist in sales and inventory tracking as needed.
- Cover reception on the days Reception staff is off.
4. Training & Development
- Identify training needs across departments and organize skill-building sessions.
- Develop cross-training programs to allow staff to assist in other roles, especially reception and guest services.
5. Administrative Duties
- Track and report daily revenue, expenses, and operational metrics to the Director.
- Assist in recruitment, onboarding, and performance evaluations of staff.
- Maintain organized records of guest feedback, incidents, and operational improvements.
6. Emergency Management
- Respond promptly to operational emergencies, coordinating with staff to resolve issues.
- Manage relationships with contractors and vendors to address specialized repair or maintenance needs.
