To ensure the optimal performance of mechanical, electrical, plumbing, and HVAC systems through regular inspections, maintenance, and repairs. MAJOR:
1. Lease Management
- Oversee the leasing process, including negotiation, renewal, and termination of leases.
- Ensure compliance with lease agreements, including maintenance responsibilities, payment schedules, and legal obligations.
2. Maintenance and Operations
- Manage the maintenance and operation of leased facilities to ensure they are safe, functional, and meet the needs of tenants.
- Implement preventive maintenance schedules and handle repairs promptly to minimize downtime and tenant disruption.
3. Cost Management
- Optimize operational costs through efficient management of resources and utilities within leased properties.
- Ensure that facilities-related expenses are within budget and identify cost-saving opportunities.
4. Tenant Relations
- Maintain strong relationships with tenants, addressing their concerns and ensuring a high level of satisfaction.
- Act as a point of contact for tenants regarding facility-related issues and improvements.
5. Regulatory Compliance
- Ensure that all leased facilities comply with local building codes, health and safety regulations, and environmental standards.
- Maintain necessary documentation and certifications related to facility operations and leasing.
6. Facility Upgrades and Improvements
- Plan and oversee facility upgrades, renovations, or improvements to enhance property value and tenant satisfaction.
- Evaluate the feasibility and cost-effectiveness of proposed upgrades.
7. Performance Monitoring
- Track and report on the performance of leased facilities, including occupancy rates, maintenance issues, and tenant feedback.
- Use performance metrics to identify areas for improvement and implement corrective actions.
8. Risk Management
- Identify potential risks associated with leased facilities and develop strategies to mitigate them.
- Ensure that appropriate insurance coverage is in place for leased properties.
9. Support in ensuring that the Quality Management System requirements are being followed and complied.
MINOR:
- Establishes and monitors preventative maintenance procedures and schedules for buildings, equipment and grounds.
- Ensures building and equipment meet all safety, security and fire regulations and policies. Makes recommendations for major repairs and purchases to supervisor.
- Monitor work performed by contractors, prepares estimates of labor and material costs, contacts external contractors and trades people to obtain quotes and arranges for major repairs and maintenance work.
- Setting and maintaining departmental budget, monitoring line efficiencies, monitoring labor cost, monitoring assets, facility and parts inventory and other expenses.
- Ensure Building and Facility Maintenance KPI’s are met and provide action/s to correct the unmet periods.
- Ensure that all statutory and regulatory requirements are acquired and maintain (BFP, FDA and other Government Agencies).
- Review utilities consumption and strive to minimize costs.
- Control activities like parking space allocation, waste disposal, building security etc.
- Manage the upkeep of equipment and supplies to meet health and safety standards.
- Track expenses and oversee the budget for maintenance.
- Plan and manage all repair and installation activities.
- Oversee equipment stock and place orders for new supplies when necessary.
- Manages maintenance and utility personnel by setting direction and priorities.
- Provides training and continuous development on all maintenance and utility personnel.
- Drives the Maintenance and Reliability initiative focused on Preventive & Predictive Maintenance, not reactive.
- Monitoring purchase orders and request for installation and/or repair up to accomplishment. Ensures maintain of Food Safety, Occupational Safety and Quality Systems as implemented.
- Performs Performance Evaluations on direct reports as required.
- Maintain historical records of building, equipment’s and grounds and ensure availability of each record at all time.
- Ensures cleaning programs are followed as per procedures and guidelines.
- Ensure that all regulatory permits are acquired, that reports are submitted to regulatory agencies, and any site permit conditions (e.g., sampling, recordkeeping) are met.
Qualifications / Skills:
- Graduate of 5 Year University Course, Preferably Civil or Electrical / Electronic Engineering
- Registered Civil or Electrical / Electronic Engineer – Preferred
- OSHA / EOSH Certified – Preferred
- At least 5 years Operational exposure to Production Processes, Logistics Operations and or Construction Site
- Functional Knowledge in regulatory requirements, technical aspects (safety, industrial hygiene, environmental), risk management, behavior-based safety, training, auditing / program review, regulatory agency enforcement etc.
- Candidate must possess a broad knowledge of the Supply Chain processes and have a working knowledge of cost control and hazard/risk analysis
- Candidate must maintain a state-of-the-art competence in hazard/risk analysis through active participation in training programs and by participating in professional Engineering societies
- Technical knowledge in electrical, mechanical and HVAC systems – Diagnostics and Troubleshooting
- Proven experience as facilities manager or relevant position
- Well-versed in technical/engineering operations and facilities management best practices
- Knowledge of basic accounting and finance principles
- Excellent verbal and written communication skills
- Excellent organizational and leadership skills
- Good analytical/critical thinking
- BSc/BA in Facility Management, Engineering, Business Administration or relevant field
- Relevant professional qualification (e.g., CFM) will be an advantage
