Job Overview:
We are seeking a highly organized and detail-oriented HR & Administrative Coordinator to support new employee onboarding, document management, invoicing, job postings, and overall HR operations. This role requires excellent administrative skills, the ability to multitask, and strong attention to detail to ensure smooth business processes.
Key Responsibilities:
- Manage new employee welcome and benefits enrollment.
- Oversee the new employee onboarding process, ensuring all required documents are collected.
- Maintain background checks and compliance requirements for all employees.
- Handle employee timesheet collection and submissions.
- Manage and maintain HR records, including contracts, assignment confirmation sheets, and acknowledgments in the Applicant Tracking System (ATS).
- Ensure proper documentation and compliance for all employees.
- Oversee Workers' Compensation poster management and required labor law postings.
- Manage job board postings on various platforms and forums.
- Assist with candidate sourcing for open positions.
- Send out candidate contracts and follow up on necessary documentation.
- Handle invoice creation and distribution to clients.
- Maintain report management for HR, payroll, and operations.
- Assist with social media content posting and scheduling via Buffer.
- Provide client account support for RFP-awarded clients.
- Oversee inventory management for office and employee needs.
Qualifications & Skills:
- 1-3 years of experience in HR, administration, or office coordination.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and HR/ATS systems.
- Experience with job boards and social media management (Buffer or similar tools).
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and manage sensitive employee records.
- Strong problem-solving and time-management skills.
