Basic Function:
● Accounts Payable Compliance: Invoice Processing; Account Reconciliation; Expense
Management; QuickBooks and PMS Utilization
● Regulatory Compliance & Financial Reporting; BIR Relief Data Entry; BIR Alpha List Entry;
Accounts Payable Ledgers and Aging Reports
● Contract Billing and Cash-in-Bank Processing: Billing and Contract Validation; Bank Statement
Review; Cheque Preparation; Petty Cash Custodian
● Inventory Management: Oversight of Year-end Inventory of Assets and Month-end Inventory of
Supplies
Responsibilities:
1. Receive and process invoices from suppliers. Reconcile transactions with general ledger. Monitor
and record expenses for tax purposes. Utilize systems like Quickbooks and Property
Management System for accounting and record keeping. Resolve purchase orders, invoice or
payment discrepancies.
2. Stay updated on regulatory requirements. Enter Quarterly VAT Relief on BIR Relief Data Entry
Module. Enter Quarterly Alpha List of WT Expanded (QAP) and Summary of WT Expanded
(SAWT) on BIR Alpha List Data Entry Module. Prepare Expense Statements, AP Ledgers, Aging
Reports.
3. Ensure all billings are in accordance with contracts. Ensure billings are endorsed by the manager
and validated before payment request. Responsible for cheque preparation. Identify withdrawals
on passbook/bank statements. Manage and monitor petty cash funds.
4. Responsible to ensure accurate year-end reporting of asset inventory and month-end reporting of
supplies inventory.
