Responsibilities
- Recruitment and Onboarding:
- Assist in posting job openings, sourcing candidates, and managing the recruitment process.
- Conduct initial interviews and coordinate with department heads to facilitate hiring decisions.
- Support the onboarding process for new employees, including preparation of paperwork, orientation, and training.
- Employee Records Management:
- Maintain accurate and up-to-date employee records, including personal information, contracts, and performance evaluations.
- Ensure compliance with data protection and privacy regulations.
- HR Policies and Compliance:
- Ensure HR policies and procedures are current and compliant with labor laws.
- Advise management on HR compliance matters.
- Conflict Resolution:
- Assist in mediating and resolving employee disputes in a fair and timely manner.
- Promote a positive, inclusive, and harmonious work environment.
- Office Management:
- Oversee day-to-day office operations, including maintenance, supply management, and equipment.
- Manage office budgets and track expenses to ensure efficient use of resources.
- Travel and Logistics Coordination:
- Arrange travel accommodations and coordinate meeting schedules for employees.
- Handle logistical details for meetings, conferences, and other events.
- Vendor and Service Provider Management:
- Liaise with vendors and service providers to maintain smooth office operations.
- Negotiate and manage service contracts with external vendors.
- Administrative Record-Keeping:
- Maintain and organize administrative records, including invoices, contracts, and correspondence.
- Ensure administrative records are accurate, accessible, and up to date.
Qualifications:
- Proven experience as an HR assistant or in a similar human resources and administrative support role.
- Strong English verbal and written communication skills for effectively explaining policies and interacting with employees.
- Proficiency in job posting processes and basic editing skills for clear and engaging communication.
- Strong typing skills and proficiency in MS Office, Google Suite, and Canva.
- Basic knowledge of labor laws and human resources practices.
- Exceptional organizational skills and attention to detail.
- Ability to handle confidential information with discretion and integrity.
- Bachelor’s degree in Human Resources, Business Administration, or a related field
- Must be proficient in English (required)
- Ability to speak basic Mandarin is an advantage
