Events Planning Specialist
JOB SUMMARY
The Events Planning Specialist plays a key role in the seamless execution of diverse events, such as activations, partnership events, and corporate functions. This position demands strong organizational skills, creativity, meticulous attention to detail, and excellent communication abilities to ensure each event is executed flawlessly.
JOB DUTIES AND RESPONSIBILITIES
Event Conceptualization and Design
• Develop innovative and engaging event concepts aligned with management’s vision and objectives.
• Design and implement event ideas, campaigns, and strategies to create memorable experiences for participants and target audiences.
• Create event concepts that strategically incorporate sponsors and partners to maximize mutual benefits.
• Collaborate with vendors and suppliers to acquire necessary services and materials.
Sponsorship and Partnership Management
• Identify and secure sponsorship opportunities; negotiate contracts and ensure they align with event goals.
• Build and maintain strong relationships with sponsors and partners, ensuring their needs and expectations are met.
• Work with sponsors and partners on branding opportunities, activations, and other collaborative elements.
Budget Management
• Develop, manage, and oversee event budgets; negotiate favorable terms with suppliers and event partners.
• Track and report on sponsorship and partnership return on investment (ROI) and performance metrics.
Logistics Coordination
• Coordinate all logistical aspects of events, including sponsor and partner-related elements such as booth setups, signage, and activations.
• Manage communication between sponsors, partners, and internal teams to ensure smooth execution.
On-Site Event Execution
• Oversee on-site management of sponsor and partner activations, ensuring they integrate seamlessly into the overall event.
Post-Event Evaluation
• Collect and analyze feedback from participants and stakeholders.
• Collaborate with the Data Analysis Team to utilize insights for enhancing future events and maintaining a competitive edge.
QUALIFICATIONS / EXPERIENCE / SKILLS
• Bachelor’s degree in Event Management, Marketing, Communications, or a related field.
• Bilingual: Fluent in Filipino and Chinese.
• Proven experience in event planning and execution.
• Experience with luxury retail events is advantageous.
• Strong creativity and strategic thinking capabilities.
• Excellent verbal and written communication skills.
• Proactive and solutions-oriented approach.
• Demonstrated ability to work collaboratively within a team.
• Meticulous attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to adapt to changing priorities and excel in a fast-paced environment.
• Flexibility to work evenings and weekends as needed.
• Basic networking skills for establishing and maintaining relationships with vendors, suppliers, and event partners.
